Essential Duties & Responsibilities

Program Coordination

  • Administer logistics for workshops and events: scheduling, materials, transportation, material procurement, and volunteer assignments.

  • Support facilitation of workshops in partnership with the Program Manager, Art Therapist, other staff and volunteers. Co-facilitate monthly Arts Alive.

  • Maintain accurate program records and compile participant data for funders and impact reports.

  • Ensure strong internal coordination and clear communication with staff and community stakeholders.

Outreach and Communication

  • Perform outreach, and build and nurture relationships with local organizations, partners, volunteers, and potential program participants.

  • Represent Life on Art at community events.

  • Collaborate with the team on development and distribution of outreach materials.

  • Manage monthly newsletter, social media, and marketing that highlights community impact, volunteer stories, and program success.

  • Help plan and execute events with staff and volunteers.

Volunteer Coordination

  • Recruit, onboard, and retain volunteers for events, workshops, and other HeartWorks, and program activities.

  • Match volunteers to opportunities based on their strengths, interests, and program needs.

  • Train and support volunteers in artmaking processes and event-based roles.

  • Plan and co-lead volunteer sessions both in the studio and out in the community.

  • Track volunteer hours and contributions; support volunteer appreciation and recognition..

Team Collaboration

  • Participate in team meetings, professional development, and organizational events.

  • Contribute to a culture of learning, shared leadership, and creativity.

  • Be a proactive, flexible, and engaged member of a small but passionate team.

Program and Outreach Coordinator

Life On Art is seeking a highly organized, community-rooted Program Coordinator to lead the day-to-day operations of HeartWorks, a healing-centered initiative at Life On Art serving Sonoma and Marin counties. This dual-role position supports creative, mental health-focused programming and is responsible for building and managing a strong network of community support including volunteers, program participants,  and potential donors.

HeartWorks focuses on healing-centered programming that integrates mental health support, creative arts, peer-led groups, and community engagement, particularly for underserved populations. The Program Coordinator will play a key role in delivering these initiatives - engaging directly with community members, coordinating events, and building strong relationships.

The ideal candidate is deeply familiar with the communities we serve, connected to local people and resources, and committed to equity and nonprofit work. They are skilled relationship builders, detail-oriented, proactive, and able to balance public engagement with behind-the-scenes coordination. A background and/or passion for the arts or mental health is a plus. Occasional evening and weekend availability required.



Job Requirements and Qualifications

Education and Experience:

  • At least 2 years of relevant experience in program coordination, community outreach, volunteer management, or nonprofit work.

  • Strong organizational and administrative skills, with a track record of managing logistics and details effectively.

  • Experience working with diverse communities.

English Language Communication Skills: 

  • Fluency in oral and written English required, knowledge of other languages (in particular, Spanish) is a plus.

  • Strong written and oral communication skills.

  • Strong interpersonal and listening skills required, with sensitivity and appreciation for diverse viewpoints and various communication styles. Ability to build trust and rapport quickly.

Function-Specific Skills:

  • Project management skills and ability to juggle multiple priorities in a fast-paced, collaborative environment.

  • Ability to manage several tasks and competing priorities in a highly collaborative, multi-stakeholder environment.

  • Demonstrates cooperation, respect, empathy, and proactive and clear communication, and positively contributes to team morale and healthy engagement with clients and collaborators.

  • Ability to work collaboratively, articulate clear expectations, and negotiate needs and resources with colleagues.

Technical Skills:

  • Competently uses Salesforce, Excel, Google Workspace, Squarespace, Monday.com, Jotform, Mailchimp, Zoom, Slack, and Canva.

  • Artistic skills like sketching, painting, design, sculpting, videography, photography, printmaking, color theory or other creative arts are welcome but not required.

  • Ability to exercise good judgment, manage time effectively to solve problems, and respond appropriately to changing circumstances and priorities. 

  • Ability to work independently and proactively, and as part of a vibrant and diverse team. 

  • Commitment to the vision, mission, and values that underlie Life On Art’s work.

  • Ability to handle sensitive information with a high degree of confidentiality.

  • High proficiency with follow-through, dependability, and attention to detail to meet deadlines with accuracy. 

Physical Demands: 

  • Must be able to use a computer for extended periods of time up to 8 hours per day.  

  • Must be able to frequently communicate orally in-person, online (e.g. Zoom meetings) and by telephone.

  • Must be able to lift and move small objects up to 15 pounds. 

Attendance and Availability: 

  • Must be able to work during normal office hours. 

  • Must be available to occasionally work outside of regular hours when needed.

  • Must be available to travel within northern California for occasional meetings and workshops. 

The pay range of this non-exempt position is $31.00 - $36.00 an hour.
